Job Description

The Executive Director of Facilities Project Management at the YMCA of Greater Tulsa is responsible for overseeing all operational plans and facility management initiatives in a proactive and organized manner. This role plays a crucial part in ensuring the efficient execution of projects, maintenance of facilities, and alignment with the organization's strategic objectives.

Qualifications

Required:

  • Bachelor’s degree in business administration, Project Management, Facility Management, or a related field. Master's degree preferred.
  • Minimum of 5 years of experience in project management and facility operations, with at least 3 years in a leadership role.
  • Proven track record of successfully managing complex projects and multi-site facilities.
  • Strong understanding of budgeting, financial management, and risk management principles.
  • Excellent leadership, communication, and interpersonal skills.

Preferred:

  • PMP certification or equivalent.
Essential Functions

Strategic Project Oversight:

  • Develop and implement project management strategies that align with the YMCA's mission and goals.
  • Lead and manage project teams both internally and externally, ensuring projects are delivered on time, within scope, and within budget.
  • Monitor project progress and performance, identifying and resolving issues to ensure successful outcomes.

Facility Management:

  • Oversee the maintenance and upkeep of all YMCA facilities, ensuring they are safe, operational, and compliant with regulations.
  • Develop and implement facility improvement plans to enhance member experience and operational efficiency.
  • Manage relationships with contractors, vendors, and suppliers to support facility needs and capital projects.

Operational Planning:

  • Collaborate with senior leadership to develop operational plans and budgets that support organizational objectives.
  • Proactively monitor operational performance against plans, identifying areas for improvement and implementing corrective actions as necessary.
  • Ensure operational processes and procedures are efficient and aligned with YMCA standards and policies. 

Effective Communication:

  • Effective verbal and written communication skills. Should be able to adapt communication style to suit different audiences.
  • Effective facilitation skills. Should be able to facilitate group discussions.
  • Attention to detail. Should be able to develop accurate written materials. Action orientated. Should be able to follow up on feedback to ensure positive outcomes.

Stakeholder Engagement:

  • Build and maintain relationships with key stakeholders including YMCA staff, leadership team, board members, donors, community partners, and regulatory agencies.
  • Represent the YMCA of Greater Tulsa in meetings, conferences, and public forums related to project management and facility operations.
