Job Description

The Camp Experience Coordinator is responsible for supporting the Senior Program Coordinator in delivering outstanding summer day camps, overnight camps, and seasonal camp programs at YMCA Camp Carter. This role ensures a seamless camp experience by coordinating activities, overseeing dining services, maximizing registrations, and fostering a safe, engaging, and fun environment. The coordinator collaborates with other camp staff to create memorable experiences that inspire growth, learning, and enjoyment for all campers.

Qualifications

  • Education: Associate’s Degree in Education, Recreation, Youth Development, or a related field preferred. Equivalent experience will be considered.
  • Experience: 1-2 years in camp programming, youth development, or event coordination, particularly in camp or community settings.
  • Skills:
    • Strong leadership and communication skills.
    • Experience in youth engagement and camp programming.
    • Strong organizational skills for coordinating activities, meals, and logistics.
    • Ability to multitask and collaborate effectively across departments.
    • Proficiency in Microsoft Office (Word, Excel, and Outlook).
Essential Functions

  • Summer and Seasonal Camp Program Coordination: Support the planning and implementation of summer day camps, overnight camps, and seasonal camps. Work closely with staff to organize activity schedules, themes, and camp logistics to ensure a smooth and impactful experience.
  • Camper Engagement and Support: Actively engage with campers, creating a supportive and positive environment. Address any concerns or issues that arise, ensuring every camper feels valued and included.
  • Dining Services Coordination: Oversee dining service logistics for day and overnight camps, ensuring dietary needs are met and meals are delivered smoothly. Communicate with kitchen staff to coordinate mealtimes with the camp schedule.
  • Cross-Department Collaboration: Work with the Program Experience Director and Retreats and Community Events Coordinator to integrate camp programming with other community and retreat events, enhancing the overall YMCA experience.
  • Staff & Volunteer Support: Help train and support camp counselors, activity leaders, and volunteers, providing them with resources and guidance to successfully deliver camp programs.
  • Program Setup & Execution: Assist in setting up and breaking down camp activity areas, meal spaces, and program stations. Ensure equipment and materials are in good condition and prepared for each activity.
  • Safety & Risk Management: Ensure safety protocols are followed for all camp activities and dining services. Promote a culture of safety and responsibility among staff and participants.
  • Program Registration & Growth: Support efforts to increase camp registrations by implementing promotional strategies and maintaining communication with prospective families to achieve registration targets.
  • Parent and Community Communication: Serve as a contact for parents, providing updates on camp activities and addressing inquiries to foster trust and ensure participant needs are met.
  • Participant Feedback Collection: Collect feedback from campers, parents, and group leaders to assess program success and identify opportunities for improvement.
  • Administrative Support: Assist with registration, scheduling, and record-keeping to support camp operations and ensure accurate attendance records.
  • Support Senior Program Coordinator: Collaborate with the Senior Program Coordinator to meet attendance and revenue targets for camp programs.
  • Cleanliness and Maintenance: Perform necessary duties to maintain the cleanliness and upkeep of camp facilities, creating a welcoming and well-maintained environment for campers and staff.
Required Certifications

  • CPR, First Aid, and AED certifications (or ability to obtain upon hire).
  • Wilderness First Aid or camp programming-related certifications are a plus.

Physical Requirements

  • Ability to work outdoors in various weather conditions.
  • Able to lift up to 25 pounds, set up equipment, and work on uneven terrain.
  • Flexible schedule, with availability for evenings, weekends, and overnight stays during camp programs.
