Job Description

Under the direction and supervision of the Controller and in accordance with the mission and purpose of the YMCA, the Payroll/HR Specialist is responsible to manage all aspects of payroll including the time and attendance system, management of the software, and current payroll tax changes. In addition, he/she will manage the ATS applicant tracking systems and support the Directors with related HR issues. He/she will perform additional tasks as necessary to support HR. He/she will follow the YMCA's mission and standards. He/she will complete all other duties and projects as assigned or required.

Qualifications

·         Bachelor’s degree in accounting and finance

·         3+ Years professional experience in payroll/HR/ATS/Recruiting

·         Nonprofit experience strongly preferred.

·         Proficient in payroll software (Paycom strongly preferred) and Microsoft Office)

·         Ability to prioritize, multi-task and meet deadlines, while maintaining a high degree of accuracy and diligence

·         Ability to exercise discretion, maintain confidentiality and apply independent judgment.

·         Excellent verbal and written communication skills, especially as it pertains to financial functions.

Essential Functions

·         Performs bi-monthly payroll including entering manual time sheets into the system, uploading hours in the system and approving vacation/PTO for Salary exempt employees.

·         Manages and updates the payroll software keeping current employee pay rates and departments.

·         Supports Meadowlands YMCA employees with questions regarding their paycheck and/or hours worked.

·         Completes ad hoc government reporting/state and/or municipal requests for information regarding employee wages.

·         Ensures W-2 are generated in a timely manner by the payroll company and disbursed to YMCA employees by January 31.

·         Assists Directors with completing necessary HR documents including but not limited to, On Boarding, Benefit selection and Termination documents and the ATS system. Posting jobs and recruiting.

·         Responsible for monitoring eligibility in the Retirement tracking system. Ensuring that employees meet the National Y Retirement (YERDI) requirements are added to the retirement benefit. Ensuring that monthly reports are sent to the Directors to track hours worked by employees.

·         Reviews all Incident reports and forwards as needed to the Broker/Converge. Follows to ensure that claims are reported and processed for Members. Function as a liaison, when necessary, between the Member and the Broker/ and or the HR Consultant.

·         Reviews and reports all Workman Compensation claims to both the controller and to the Broker. Ensure that all claims are processed with a claim number and the employee is made aware of the network of providers covered under the WC plan.

·         Ensure that background checks are performed prior to the start date and that hours worked are reported back to the Department of Corrections.

·         Responsible for centralizing and maintaining Association information for all Volunteers, including name, address, background check information, and log of hours worked by department.

·         Ensures that the Association is following the current Personal Policy and Benefit guide handbook as well as ensures compliance with the NJ Alliance Child Prevention Guide.

·         Communicates the vision of the YMCA to all staff, volunteers, and community to ensure that they feel the overall mission of the organization.

·        Onboarding all new hires to the Meadowlands YMCA.

Performs other related duties as assigned or as necessary. Remains flexible and adaptable in work schedules and work assignments as defined by departmental and organizational needs.
