Business Manager

Join the Minot family YMCA team as a Business Manager! This position oversees the financials for one YMCA branch and resident camp. 
Job Description

Under the general direction of the Executive Director, this position will serve to consolidate all general office functions, as well as provide support for the CEO. Primary responsibilities include Accounting, Annual Campaign, Capital Campaigns, and support. Oversees YMCA accounting practices, maintenance of fiscal records, preparation of financial reports. Ensures system of internal controls and maintains fiscal soundness. Works with outside accounting firm on external audits, 990 tax return and preparation. Provide leadership for full-time direct reports and other functions such as strategic planning, business operations. and initiatives.

Qualifications
  1. At least 21 years of age preferred
  2. Bachelor’s degree in accounting or finance preferred or equivalent combination of education and experience.
  3. Experience in Business Financial Management, accounting or accounting setting, preferably in the non-profit sector.
  4. Experience in Payroll practices, preferably using Paycom.
  5. Working knowledge of Windows and MS Office operations (Word, Excel, powerPoint, Outlook, and Publisher) and accounting systems.
  6. Requires incumbent to possess the ability to manage various resources, programs, budgets, and staff with an awareness of the goals and objective of the association.
  7. Minimum of 5 years customer service and supervisory experience preferred or equivalent combination of related education and experience.
  8. Strong written and verbal communication skills, including the ability to present to diverse audiences.
  9. Requires practical experience in people service programs serving adults and youth, as well as skills in public relations, communication, supervision, promotion, marketing, finance, and time management.
  10. Ability to respond to facility as needed outside the traditional facility hours. This position requires 24/7 availability, with an understanding that life and career balance are a priority.
  11. Convey a professional attitude, friendly and outgoing personality, exhibit enthusiasm for the Y and the fitness industry.  Abide by the dress code and communicate professionally with members and staff.

  15. This individual must familiarize themselves with YMCA rules and policies within 30 days of employment. Since this position is dealing directly with members, program participants, volunteers, and staff in a position of authority, above-average verbal communication skills are required.
Essential Functions
  1. Develops, implements and manages all functions of accounting and business operations, ensuring legal and audit requirements are met and best practices and maximum efficiency are obtained.
  2. Implements appropriate systems and internal controls to safeguard YMCA’s financial resources adequately and to provide a solid basis for accurately reporting financial data.
  3. Monitors financial operations by reviewing and preparing month end and yearly reports and reports for outside filing.
  4. Responsible for daily cash reports and deposits.
  5. Oversees and assists in processing of payroll administration including maintaining records and related systems and reviewing payroll related transactions for accuracy and completeness.
  6. Oversees accounts receivable and payable in a timely manner and ensures there are no gaps.
  7. Oversees and certifies all information for annual audit while maintaining communication with outside auditors to ensure all accounting functions are in compliance with generally accepted accounting principles and auditor’s recommendations.
  8. Maintains, manages, and records the purchasing of supplies and equipment.
  9. Analyzes operational issues impacting financial groups and whole institution and determines financial impact.
  10. Oversees the development of the annual operating budget.
  11. Recruits, trains, and supervises full-time exempt directors in the areas of Membership, Business Administration, and Youth Development while maintaining an understanding of each department’s procedures, practices, and policies.
  12. Assists in the development of appropriate fundraising policies and procedures for the association.
  13. Maintains database resource file on top community leaders, donor prospects, alumni. Tracks and records gifts, pledges by source and purpose; tracks and records grants and foundation donations and provides reports as needed.
  14. Maintains good working relationships with auditors, bankers, investment counselors, attorneys and other professional advisors. Represents the YMCA with key community organizations and events as required.
  15. Greet and assist all members, potential members, volunteers, and staff in a courteous, professional, and friendly manner. Be enthusiastic towards members by learning their names and expressing an interest in their YMCA activities. Strive to enrich their YMCA experience by introducing them to new programs, staff, members, and volunteer activities.
  16. Respond to members' needs. Contact appropriate personnel when necessary. Handle complaints in a courteous manner. Effectively negotiate and resolve customer service problems.
  17. Maintain a working knowledge of the YMCA rules, policies, and emergency procedures and act as a point of contact for the facility during emergency situations.
  18. Maintain a first-class appearance of both the internal and external parts of the facility. Take part in facility management.
  19. Investigate collaborative efforts in the community and solicit corporate sponsors for special events, services, and programming per annual fiscal budget.
  20. Works in conjunction with other staff in implementing membership, program participant, and employee onboarding initiatives.
  21. Assist other staff as needed and perform other duties as assigned.
