Properties and Facilities Project Manager

POSITION SUMMARY: 

Under the direction of the Senior VP of Properties and Facilities, this position will provide proactive management for all aspects of construction projects including design phase, preconstruction, project startup, schedule tracking, cost management, closeout, and turnover. Scope includes management of general contractors, design partners, consultants, etc.  to deliver projects on time and within budget. A strong management focus, exceptional organization skills and keen attention to detail are paramount to success.

This position will be responsible for managing multiple projects of varied complexity. Gathering qualitative and quantitative data, analyzing the data, writing summary reports and administration functions associated with preparing and presenting results of projects to staff and volunteers will be expected. 

Qualifications
  • Four-year degree in an accredited construction related curriculum (BSCE, BSCM, BSAE, etc.) or experience equivalent to a four-year degree. 
  • Minimum 7 years industry experience; or equivalent combination of education and experience. 
  • Strong organizational and management skills; strong interpersonal and supervisory skills; strong presentation skills and experience in matrix management organization. 
  • Knowledgeable in real estate, building systems, facility management, telecommunications, furniture, procurement, and property accounting. 
  • Possess a high level of initiative and proactivity, competency in project management, professionalism, a positive attitude and enjoy working in and creating a strong team environment. 
  • Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, governmental regulations and construction plans. 
  • Ability to write reports, business correspondence, and procedure manuals and effectively present information and respond to questions from members, branch administration, volunteers, and the general public. 
  • Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables. 
  • Personnel leadership abilities and knowledge of standard business procedures; the ability to determine and set priorities, capacity to respond and handle multiple tasks appropriately in a dynamic and fast-paced work environment with a determined sense of urgency. 
  • Ability to relate effectively to diverse groups of people from all social and economic segments of the community. 
  • Must have total commitment to the mission of the YMCA and uphold its values and ethics. 
  • Strong in Microsoft Outlook, Word, Excel, Project, as well as proficiency in ProCore, Newforma, and Primavera 6 and Bluebeam preferred.  
Essential Functions
  • Works closely with department leadership to ensure all projects progress in a timely manner. 
  • In conjunction with the Senior VP of Properties and Facilities, track all project spending against initial budget to provide alignment between Finance, Financial Development, and Facilities departments. 
  • Develop methods to deliver data that will direct investment in assets.   
  • Conduct plan reviews with the development project team each drawing release. 
  • Review pricing efforts and participate in value engineering. 
  • Assist project team with jurisdictional permitting. 
  • Meet with and prequalify Architects and General Contractors for various jobs. 
  • Manage master project timeline/calendar and all vendor and stakeholder critical dates. 
  • Review contracts to check for proper setup, scope gaps, and potential liabilities. 
  • Establish construction logistics plans. 
  • Create project budget with development team including contingencies and various budget breakdowns. 
  • Manage construction costs including change orders throughout project duration.
  • Proactively problem-solve and manage open issues to mitigate effects on critical path or budget. 
  • Coordinate construction administration information flow between owner, architect CA, contractor, and engineers. 
  • Review RFIs, Submittals, Correspondence, and other construction period documentation between owner, architect, and GC. 
  • Coordinate with other owner-hired consultants and corresponding YMCA departments. 
  • Push all contractors to meet/beat schedule without sacrificing quality. 
  • Collect information and update leadership on progress and/or potential issues. 
  • Take lead on all assigned construction projects and work closely with P&F team to ensure all aspects of the project are being tracked and communicated appropriately. 
  • Review pay apps and work with procurement to ensure proper and timely payment. 
  • Perform punch list walks, holding GCs to a high level of accountability. 
  • Interface with inspectors, maintaining strong relationships. 
  • Complete final punch lists and track all open items to closure. 
  • Compile all project closeout documentation from various project partners. 
  • Interface with branch staff and ARC departments for smooth handoff from contractors. 
  • Coordinate and facilitate owner training and warranty training for property staff. 
  • Coordinate with the PM team and GC on 1 year warranty walk, and corrective actions required. 
  • Assist with maintaining accurate and up-to-date project files upon project completion 
  • Assist with coordination of volunteer advisory group meetings as assigned.
