Job Description

The Retreats and Community Events Coordinator supports the execution of weekend and weekday camp retreats, special community events, challenge course programming, and dining services at YMCA Camp Carter. This role assists the Program Experience Director in implementing strategies to ensure all programs run smoothly, delivering exceptional guest experiences. The coordinator will be hands-on with planning, coordinating, and executing activities, maintaining a welcoming environment for all participants, and facilitating engaging challenge course activities.

Qualifications
  • Education: Associate's Degree in Event Management, Hospitality, Recreation, or a related field preferred. Relevant work experience may be considered in lieu of a degree.
  • Experience: 1-2 years of experience in event planning, retreat coordination, challenge course facilitation, or customer service, preferably in a camp, hospitality, or recreational setting.
  • Skills:
    • Strong organizational and multitasking skills.
    • Excellent customer service and communication skills.
    • Ability to work collaboratively as part of a team while being self-directed when needed.
    • Detail-oriented with the ability to manage logistical aspects of events and challenge course activities.
    • Comfortable working in a dynamic, fast-paced environment with varying schedules.
    • Proficiency in basic computer software such as Microsoft Office (Word, Excel, and Outlook).
Essential Functions

  • Program Support: Assist the Program Experience Director in the planning and implementation of retreats, community events, challenge course programming, and other activities. Ensure all aspects of the program are executed according to established schedules and strategies.
  • Challenge Course Development Support: Assist the Program Experience Director in designing, developing, and facilitating challenge course activities that promote team-building and personal growth. Support in ensuring that all safety standards and protocols are followed to maintain a secure and engaging environment for participants.
  • Dining Services Coordination: Coordinate dining services for retreats and camp activities by working with the kitchen and relevant departments. Ensure meals align with camp schedules, dietary needs are met, and dining experiences are smooth and efficient.
  • Cross-Departmental Collaboration: Work closely with the Program Experience Director and the Summer/Day Camp and Outdoor Education department to align outdoor education and camp programming with broader camp and community event initiatives.
  • Guest Services: Serve as an on-site contact for retreat groups and event participants, addressing needs, resolving issues, and ensuring guests have a positive experience throughout their stay.
  • Activity Setup & Coordination: Help set up, organize, and facilitate activities during retreats, events, and challenge course sessions, ensuring materials, staff, and logistics are in place for smooth operations.
  • Community Event Support: Assist in the planning and execution of special events for the community, working closely with local vendors, partners, and organizations to enhance the experience.
  • Logistical Support: Manage the setup and teardown of event spaces, coordinate staff schedules, and ensure that all necessary resources are available for successful events, retreats, and challenge course sessions.
  • Risk Management: Help ensure all safety protocols are followed during retreats, events, and challenge course activities, monitoring for participant safety.
  • Volunteer & Staff Coordination: Work with volunteers and part-time staff, helping them understand their roles, providing guidance, and ensuring tasks are completed on time.
  • Participant Feedback Collection: Gather feedback from retreat participants, challenge course attendees, and community event guests to help improve future programs and ensure guest satisfaction.
  • Administrative Tasks: Handle day-to-day administrative duties such as maintaining event and retreat schedules, coordinating bookings, and assisting with participant registration.
  • Marketing Support: Assist in promoting retreats, community events, and challenge courses by coordinating with the marketing team to ensure promotional materials are distributed and information is current.
  • Cleanliness and Maintenance: Perform all duties necessary to ensure the cleanliness and maintenance of the premises and program areas, creating a welcoming and well-maintained environment for guests and participants.

Required Certifications

Certifications

  • CPR, First Aid, and AED certifications (or ability to obtain upon hire).
  • Certifications in relevant recreational or event areas, such as challenge courses or food handling, are a plus.

Physical Requirements

  • Ability to perform tasks requiring physical effort, including lifting up to 25 pounds, setting up activities and equipment, standing for long periods, and working outdoors.
  • Willingness to work flexible hours, including evenings, weekends, and holidays, based on event, retreat, and challenge course schedules.
