Job Description

This position supports the work of the Y, a leading nonprofit committed to strengthening the community through youth development, healthy living, and social responsibility. The Chief of Staff to the CEO (“the COS”) is critically important, enabling the CEO to work most effectively with internal and external stakeholders and fulfill his commitments to YMCA partners, funders, and the Board of Directors. This is not an administrative role; it is highly strategic and facilitative. It requires a combination of focus and flexibility and a willingness to play an active, behind-the-scenes role. As the CEO’s ‘trusted counsel,’ the position requires a highly resourceful individual with vital emotional intelligence, self-motivation, and analytical skills. The Chief of Staff (COS) shall serve as a senior management team member, with the equivalency of the Vice President/C-Suite member of the organization and with authority over a wide range of management and technical assignments. They will also be assigned special projects that may be ongoing and non-recurring.

Qualifications

Education & Experience

  • Bachelor's degree must be completed or in progress, and a Masters' Degree or certification must be a plus. In business, communications, project management, leadership
  • Three or more years of related experience working as an assistant to high-level executives or administrators.
  • Proficient in all standard business software.
  • Knowledgeable about office processes and procedures.
  • Ability to work with integrity, discretion, and a professional approach.
  • Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.).
  • The ability to speak any language in addition to English may be helpful.
Essential Functions

1. Preparation for and facilitation of “critical path” CEO meetings (e.g., with YMCA executive leadership, current or potential partners, funders, community leaders, government officials, and peer executives). While members of any of these groups may initiate these meetings through the CEO’s Executive Assistant and be responsible for inviting and preparing participants, the COS is accountable for ensuring that the meeting objectives are realistic, that preparation is appropriate, and that the CEO is well-prepared. This responsibility is less about logistics and more about content and the COS’s judgment about the appropriateness and sufficiency of the intended preparation. In other words, the COS’s role is to ensure the CEO’s time is leveraged most effectively in a meeting context. This may mean querying and pushing back on senior executives and assisting in preparing for their interactions with the CEO.

2. Coordinate/orchestrate projects or commitments involving the CEO and his direct reports. This responsibility primarily focuses on ensuring alignment among the often-disparate stakeholders and, when such alignment is absent, sharing this fact with the CEO and recommending mitigating approaches. While this responsibility envisions the COS “going deep” on a relatively limited number of projects, s/he would also need to understand the breadth of the projects within the CEO’s purview. The CEO and the COS would agree on the schedule of projects requiring COS involvement. Tact, diplomacy, and persistence are essential qualities in executing this dimension of the role.

3. Independent leadership of special CEO-initiated projects, ranging from written products to be authored by the CEO to convening thought leaders on various topics. At the same time, most CEO-initiated projects will find homes among the executive team and their staff; some confidential or time-sensitive issues will need to reside within the CEO's office and be led by the COS and the CEO. From time to time, the Board asks the CEO to come back with specific analyses—these, too, would fall within the COS’ purview.

4. Development of draft communication on behalf of the CEO and research in support of these. Communications range from the CEO update at Board meetings to follow-up correspondence related to the CEO’s various encounters with funders, partners, and staff to different speaking engagements involving external audiences. In addition to drafting critical communications, the COS should be able to accurately reflect the CEO’s position in internal meetings to help understand his views. However, the role does not entail devolved responsibility to act for the CEO unless specified.

5. Proactively identifying issues that could impact the successful execution of the CEO’s commitments: This responsibility involves elevating the problems the CEO should be aware of and framing/positioning ideas to resolve the issue/mitigate the risk. This is among the most challenging aspects of the job and will require the COS to focus on the underlying interests of the parties working with the CEO, understand their intentions, and creatively identify alternative means of handling pressing issues.

6. Support the executive team’s communications with the CEO: The COS will help facilitate decisions the administrative staff needs to receive feedback on from the CEO. S/he will support the executive team's needs in raising critical issues with the CEO and receiving required responses, guidance, and decisions.

Key Focus Areas

  • Be the Principal Advisor to the CEO.
  • Be responsible for directing the operations of the CEO’s Office while maintaining a consistent interface with the executive leadership to ensure that critical issues are proactively addressed.
  • The Chief of Staff is the CEO’s liaison to various organizational committees.
  • Manage the flow of communication from the CEO’s office to ensure consistent and responsive messaging.
  • Supervise critical reports, including updates with responsible staff for producing financial metrics, risk reports, and daily briefings for the CEO.
  • Supervise the support team and executive assistant in their tasking to ensure a well-run and efficient schedule for the CEO.
  • Develop and implement a media strategy in consultation with internal stakeholders and help prepare the President for media presence.
  • Coordinate specific engagement activities with the President’s Office around strategic and operational matters.
  • Generate and coordinate assignments as needed. Work independently to complete projects involving the appropriate internal or external contacts.
  • Helped prepare press releases and worked with YMCA’s media team to provide high-quality input and direction to media organizations.
  • Ensure that financial and risk metrics and dashboards are kept up to date.
  • Coordinate the CEO’s itinerary and travel schedule to ensure smooth movement and efficient use of their time.
  • Supervise the drafting of market statements and presentations and ensure the CEO is well-prepared for routine quarterly conference calls and other stakeholder engagements.
  • Manage projects requiring coordination of several offices and areas of the organization, including personnel/management reviews and special studies.
  • Prepare an agenda for each senior executive meeting and provide a summary of discussions and action items resulting from each meeting to attendees, with appropriate follow-up. Occasionally attend such meetings instead of the CEO.
  • Develop data analysis and write reports for use in executive decision-making. Handle data, communication, and projects that are highly privileged and confidential.
  • Build and maintain mutually supportive relationships with all tiers of the organization, including management, staff, outside agencies, consultants, and field experts, when necessary. Work to remove barriers that hamper communications within the organization.
  • Maintain supportive relationships with all tiers of the organization.
  • Remove barriers that hamper inter- and intra-department communications and contribute to a positive and collegial culture that bolsters the organization's spirit and morale.
  • Monitor assignments that must be accomplished in conjunction with other senior executives.
  • Prepare reporting materials and reports for regulatory compliance.
  • Prepare the CEO for Local, Staff, and Federal engagement meetings, hearings, events, and media briefings.
  • Perform other related duties as assigned.

COMPENSATION & BENEFITS

The YMCA of Metropolitan Fort Worth offers a competitive salary and benefits package for selected candidates.

The yearly salary range for this position is $80,000 - $95,000 and will be commensurate with the selected candidates experience.
