The Human Resources Associate and Payroll Administrator position presents a unique opportunity for an individual with exceptional attention to detail, a strong process orientation, excellent customer service skills, and a dedication to serving the unique mission of the YMCA of Central Massachusetts. The successful candidate will work closely with the Executive Director of Human Resources and the Finance Department, supporting over 800 employees who work and live in the communities that we serve. Reporting to the Executive Director of Human Resources and working closely with hiring directors and supervisors, the Human Resources Associate/Payroll Administrator will play a crucial role in identifying staffing needs and creating plans for hiring talent. As part of a collaborative team, the Human Resources Associate & Payroll Admin. will post and communicate job opportunities on job boards and social media. Will perform necessary payroll and finance-related functions to ensure high-quality internal operations for the association. Working under tight deadlines, confidentiality and discretion will be always maintained, fostering a sense of trust and camaraderie within the team.

Location: Association Service Center, 766 Main Street 4th Floor, Worcester MA

Schedule: Typically Mondays thru Fridays from 8:30 am to 5:00 pm w/ flexibility to work occasionally during evening and weekends for meetings or events. 

Job Type: Full-Time Hourly Non-Exempt

Pay: $26.44 per hour

Qualifications
  • High school diploma or GED. A Human Resources certificate or undergraduate degree in Human Resources or Business is preferred.
  • A minimum of 5 years of work experience in Human Resources, including Talent Acquisition/Recruitment and Payroll Processing. Direct experience working with Paylocity HRIS preferred.
  • Work requires the ability to produce written communications, including correspondence, employment postings, processes, and policies. Develops trainings using a variety of formats.
  • Proficient in Microsoft Suite, Adobe Creative Suite, PowerPoint and Outlook.
  • Experienced in utilizing job boards and posting job opportunities and posting job opportunities on social media platforms (e.g., Indeed, LinkedIn etc.).
  • Must be highly skilled in generating reports, organization, scheduling and/or coordinating events, and interpersonal (written and verbal) communication.
  • Must be detail oriented and exhibit a high degree of accuracy..
  • Must be flexible, have excellent time management work habits, be able to prioritize multiple tasks, and be able to meet tight deadlines.
  • Must have the ability to travel within the local area.

Essential Functions
  • Works with the Executive Director of Human Resources, hiring directors, and supervisor to understand staffing needs and develop plans for hiring talent. Partners with members of the leadership team to develop and implement strategies related to employee recruitment, retention, and organizational culture.
  • Posts and communicates job opportunities on job boards and works with out marketing department to ensure roles are highlighted on social media platforms.
  • Sources, screens and partners with hiring directors and supervisors to select final candidates.
  • Oversees the recruitment process; assisting hiring directors/supervisors with job requisitions.
  • Oversees the preparation, implementation and training on our Applicant Tracking System and Paylocity HRIS. This includes updating job descriptions, posting content and other required data.
  • Regularly provides reporting on the current recruitment status by position to the leadership staff.
  • Oversees the new hire onboarding process, monitoring the completion of documentation, and communicating with directors, supervisors and staff to ensure a timely and accurate completion of paperwork.
  • Operates with a sense of urgency and provides guidance on recruiting and payroll processing.
  • Works with leadership staff to ensure that staff members are onboarded and offboarded in a timely and efficient manner.
  • Advises team members on questions regarding HR Onboarding, recruitment, and payroll policies, processes and practices.
  • Travels locally within the Central Massachusetts area occasionally to meet with hiring directors and external recruiting contacts. Attends career fairs, and other events with occasional meetings during the evenings, weekends or virtually.
  • Advises the leadership team on issues related to employee relations, including providing constructive feedback.
  • Supports a positive working environment while coaching & guiding employees.
  • Handles HR administrative responsibilities, including responding to employee inquiries, maintaining employee files, and ensuring compliance.
  • Performs necessary payroll and finance-related functions to ensure high-quality internal operations for the Association. This includes working in a team environment, under tight deadlines, ensuring confidentiality and discretion is maintained at all times.
  • Maintains accurate and up to date human resource files, records, and documentation.
  • Reviews time and attendance data, as well as various payroll reports, for completeness and accuracy; communicates with branch staff about any missing items.
  • Processes payroll; performs account reconciliations and general ledger support for payroll transactions.
  • Assists directors and branch staff with payroll issues; facilitates employee understanding of payroll procedures including developing and updating trainings to assist supervisors and staff.
