Job Description

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. This position serves as the liaison between the YMCA and the Executive Director with regard to all membership transactions.  Directs all aspects of membership for the YMCA including recruitment of new members, retention of existing members and supervision of assigned staff.  Develops, plans and implements new procedures and methods to achieve strategic goals.  Directs all aspects of fitness inclusion in the YMCA, including staff, equipment and physical structure. 

Qualifications

1.    Minimum of an Associate Degrees; Bachelor's degree preferred.

2.    Excellent personal computer skills, experience with standard business software and office machines.

3.    Understanding of basic accounting concepts and applications including cash reconciliation, accounts receivable and accounts payable. 

4.    Ability to relate effectively to diverse groups of people from all social and economic segments
of the community.

6.    CPR, AED and First Aid certified – training can be provided.

7.    Must be comfortable speaking to groups.

Essential Functions

1.    Recruits, trains, and supervises assigned staff and volunteers.

2.    Reviews and follow ups on returned checks and bank drafts in relation to memberships.

3.    Assists staff and serves as the point person at the YMCA for software and business questions.

4.    Assists executive director in annual budget development and other tasks as needed related to membeship.

5.    Oversees office functions such as petty cash, office equipment and supplies, etc.

6.    Collect time cards and assist executive director with payroll.

7.    Maintain accurate and neat files for membership records, registrations, personnel and general files.

8.    Receipt money, make deposits, coordinate billing and automate drafts of membership dues.

9.    Purchases supplies and equipment for front desk and membership within budget.

10.  Train new employees with on-boarding processes.  Updates and maintains good onboarding and employee training processes. 

11.  May provide administrative support to the executive director.

12.  Implements membership strategies that promote recruitment of new members and retention of existing members.  Organizes assigned staff to support membership development and retention goals.  Identifies and resolves problem areas to ensure member satisfaction.

13.  Dutifully serves members requesting financial assistance.  Promptly responds to requests and tracks financial assistance statistics. 

14.  Conducts ongoing assessment of staff functions to determine required core competencies and skills; and designs and implements training as needed.  Recruits, hires, trains, develops, schedules and directs personnel and volunteers as needed.  Reviews and evaluates staff performance.  Develops strategies to motivate staff and achieve goals.

15.  Promotes program and membership enrollment in interactions with existing and potential members.  Coordinates program registration, including logistics to support phone, walk-in and web registration (if applicable).  Coordinates with marketing efforts to maximize enrollments; and provides ongoing support to Program Director of related issues.

16.  Ensures proper implementation of front desk procedures.  Reviews and updates front desk procedures and communicates changes to staff.

17.  Organizes membership events at the YMCA and represents the YMCA at community events to promote the YMCA.

18.  Leads assigned aspects of the Annual Strong Kids Support Campaign.

19.  Participates in staff meetings and/or related meetings, speaks to groups about the YMCA and provides tours to groups and individuals.
