Job Description

The Branch Executive Assistant assists the Executive Director, the Advisory Board Chair and assigned branch staff by providing high-level administrative support. 

Qualifications
  • Bachelor’s degree in related field or equivalent experience preferred
  • Minimum of two years of administrative experience with enhanced knowledge of office processes and procedures
  • Proficient in all standard business software
  • Ability to establish and maintain collaborations with community organizations
  • Ability to work with integrity, discretion and a professional approach
  • Must be fluent in spoken and written English
  • Obtain and maintain all new hire certifications and trainings within 90 days of hire
Essential Functions
  • Uses discretion and independent judgment in handling confidential and sensitive information
  • Maintains highly confidential executive and Board files and correspondence.
  • Produces and maintains minutes for meetings of the Advisory Board of Directors and other committees and standing meetings as required.
  • Coordinates arrangements for meetings of various committees, task forces, public officials and groups.
  • Maintains computer databases for various reports, committees and mailings.
  • Coordinates annual schedules for Advisory Board of Directors and management meetings.  
  • Maintains organizational chart(s).
  • Coordinates staff business cards, stationery orders and office supplies for business/administrative offices.
  • Provides support for the Annual Campaign at the direction of the branch executive director.
  • Ensures donor stewardship plan is executed in conjunction with the branch executive director.
  • Ensures Raiser’s Edge SOPs are followed at the branch for all donors, prospects and partners.   
  • Ensures bank deposits are completed in accordance with association SOPs.  
  • Gathers data, compiles and prepares all national statistical and assigned strategic plan reports.
  • Plans, organizes and participates in special events based on branch needs.
  • Ensures compliance with all YGBW policies and standard operating procedures. 
  • Performs other related duties as assigned.
