Administration for grant, vendor, lease, facility rental agreements, permits, MOU, quotes, and independent contractor contracts.
Job Description

Serves as primary point of contact, support, and administration for the contracting function for the Y including but not limited to grant, vendor, lease, facility rental agreements, permits, MOU, quotes, and independent contractor contracts. Ensures that contracts have been thoroughly reviewed and that they are processed following Y policies and procedures. Guides and directs Y staff on policies and procedures surrounding contracting. Understands and implements GAAP in a variety of business situations.

Qualifications
  • Bachelor’s or advanced degree in law or business.
  • JD and two years or more experience in contract development, execution and management; or Five years or more experience in contract development, execution, and management.
  • Understanding of standard terms of contracts, including term and termination, liability limitations, indemnification, assignment, payment terms, notice and renewal. 
  • Excellent computer skills to include knowledge of Accounting and Financial systems including Microsoft Office products, especially in Excel.
  • Superior analytical and problem-solving skills.
  • Strong organizational skills, exceptional attention to accuracy and detail.
  • Ability to meet firm deadlines.
Essential Functions
  • Manages the grant and contract review and approval process.
  • Works collaboratively with Y leadership, staff, general counsel and risk management to ensure compliance with all federal, state, and local mandates related to contract requirements.
  • Educates relevant staff on contracting best practices, assists in reviews and drafting of contract proposals when appropriate, highlights contractual risks or issues to appropriate management for resolution, and obtains signatures of Y staff at the appropriate level. Manages communication with staff related to contract changes.
  • Reviews, understands, analyzes grants and contracts, and makes recommendations to best protect the Y from a legal, regulatory, and a best-practice perspective.
  • Actively participates in pre- and post-contract execution meetings and negotiations.
  • Assists with key sections of external audits, reviews, and reporting requirements to outside entities.
  • Maintains grant and contract records in compliance with internal policies as well as grant requirements.
  • Work collaboratively with various teams throughout the Y.
  • Manage contracts management platform (Gatekeeper), including uploading documents, assisting with retrieval of documents, managing signature process, ensuring accurate and complete contract retention, tracking and documentation, train staff on Gatekeeper software usage, manage user permissions, and submit tickets to Gatekeeper customer support if issues.
